Notification: Alert

The Alert sub-tab allows you to specify whether an online alert window should display for defined recipients of this Notification. You can define the content, appearance, and sound of the alert. You can also specify a Click Action to provide the user with additional information about the event.

Define an alert for a Notification action:

  1. Ensure the Notification action is selected.

  2. Click the Alert sub-tab.

    The default Settings sub-tab displays, allowing you to specify the caption, appearance, and sound of the alert.

  3. Select the Send Notification as an Alert check box to enable the alert.

  4. Choose between two options:

    • Select the Only Display Alert if Recipient is Online check box to ensure the alert is only displayed if the recipient is online when the event occurs.

    • Clear the Only Display Alert if Recipient is Online check box if you want the alert to be presented to the recipient the next time they sign in to Maintenance Connection if the event occurs when they are not online.

  5. Enter a caption display at the top of the alert in the Alert Caption field.

  6. Modify the Caption Style, Alert Style or Message Style:

    1. Click the Edit button at the far right of each field.

      The Style Editor opens, allowing you to edit the designated style. The Content and Text tab will be selected by default.

    2. Use the Content and Text tab to modify the Alert Caption Style.

      For example, you could change the font color, size, or style. As options are selected, they are displayed in the area on the right, and the appropriate HTML setting is shown at the bottom of the window. When the settings are applied, the associated HTML is populated into the field.

      Refer to the instructions on the Style Editor to learn more about using this feature.

    3. Use the Border and Outline tab to modify the Alert Window Style.

      For example, you could change the border color and thickness.

    4. Use the Content and Text tab to modify the Alert Message Style.

      This edits the appearance of the content defined on the Message sub-tab.

    5. Click Apply.

      The window closes.

  7. Enter the desired height and width of the alert in pixels in the Alert Window Size fields.

    The default window size is 400 x 200 px.

  8. To display an image on the alert, select from the options in the Alert Image field.

    The Alert option presents an image alert that corresponds to the event record, such as an asset image for a new work order alert. If no image exists on the event record, no image will be displayed.

    Event Labor Photo displays the labor photo of the individual that created the event.

  9. Select an alert sound from the Alert Sound field.

  10. Click the Show Alert button in the upper-right to test the appearance of your alert.

    An example of the alert displays. When you click the Show Alert button, the system cannot display the actual field values or attached images, as the event record is not known.

  11. Include an embedded link in the alert that would allow the recipient to obtain additional information:

    1. Click the Click Action sub-tab.

    2. Select the action that should be initiated when the user clicks the provided prompt.

      • Open Work Center opens the record corresponding to the alert, such as a work order or purchase order.

      • To connect the user to a report through the click action, select Run Report. You will be prompted to select the report name and the criteria to use for the report.

        As an example, for a rule notifying a member that a specification reading has failed, you might want to provide access to the Asset Specification History, ensuring the criteria is set to return values for the asset associated with the event.

  12. Access the other Send Notification tabs and make changes as needed: Event Recipients, Recipients, and Message.

  13. Click Save.
